About the Role:

We are not looking for a typical, behind-the-scenes administrative assistant. We need a high-energy, tenacious, and communication-driven professional to serve as the vital heartbeat of our clinic. Think of this role as a blend of project management execution and relationship-driven outreach (without the cold-sales pitch!).

As our Administrative & Outreach Coordinator, you will ensure a seamless journey for patients on their weight loss and wellness paths. You will be responsible for the high-level orchestration of patient care—from managing precise hair and specimen logistics to executing tons of daily outreaches with a genuine smile. Your mission is to uphold the clinic’s 27-year reputation for excellence by bringing unstoppable energy, relentless follow-up, and empathetic communication to every single interaction.

Key Responsibilities

  • Relentless Patient Outreach: Execute a high volume of daily follow-ups and touchpoints with enthusiasm, ensuring patients feel supported and motivated.
  • Logistics & Project Management: Stay fiercely on top of patient paperwork, ensuring hair and specimen samples are processed and mailed out in a rigorous, timely manner.
  • Precision Scheduling: Manage and optimize the appointment calendar with absolute accuracy and professionalism.
  • Proactive Communication: Serve as the primary, vibrant link between the clinic and its patients, answering inquiries and closing the loop on outstanding items.
  • Data & Workflow Management: Keep spreadsheets, reports, and administrative records perfectly organized and updated.
     

Qualifications & Skills

  • The "Vibe": Energetic, positive, and resilient. You have a "smile in your voice" and don't mind a fast-paced day heavy on outbound communication.
  • The DNA: A background in Project Management or Sales/Customer Success is highly preferred (though this is not a sales position—your "pitch" is incredible care and flawless follow-through).
  • Master of Follow-Up: Tenacious and detail-oriented; you naturally hate leaving tasks unfinished and Excel at keeping others on track.
  • Communication Rockstar: Exceptional English communication skills (verbal and written) with the ability to build instant rapport.
  • Tech-Savvy: Highly comfortable navigating spreadsheets, scheduling tools, and modern administrative platforms.
  • Industry Experience: Prior experience in medical healthcare, clinic administration, or patient coordination is required.
