About the Role:
The client is seeking a confident, business-oriented Virtual Assistant who will act as an Appointment Setter. This role focuses on outbound cold calling to establish relationships, build brand awareness, and set qualified appointments for the owner and internal team. The position also supports backend systems, CRM updates, and automations to ensure every lead is accurately tracked and followed up on. This is not a hard sales role. The goal is to start meaningful conversations, collect accurate information, and position the company as a trusted go-to resource for demolition and clean-out services.

📞 Key Responsibilities

Lead Generation and Appointment Setting

  • Cold Outreach: Conduct outbound calls to general contractors, property managers, and tradespeople to introduce the company and establish initial contact

  • Pitching Services: Clearly communicate demolition and clean-out services using simple, industry-appropriate language without selling or quoting prices

  • Qualified Bookings: Secure appointments by confirming interest and availability for the owner or internal team

  • Bilingual Communication: Utilize English and Spanish to support diverse B2B conversations

  • Objection Handling: Respond calmly and professionally to questions, pushback, and rejection while maintaining confidence and consistency

🗂 CRM Management and Data Accuracy

  • Contact Documentation: Accurately capture and log names, emails, phone numbers, addresses, and detailed call notes after every interaction

  • CRM Updates: Maintain clean, up-to-date records inside Jobber and Go High Level

  • Lead Categorization: Tag and organize contacts based on cold, warm, hot, past client, or referral potential

  • Data Integrity: Ensure all information entered supports long-term follow-up and marketing efforts

⚙ Backend Operations and Automation Support

  • Automation Support: Assist with triggering and managing follow-up automations based on call outcomes and lead status

  • CRM Synchronization: Support data alignment between Jobber and Go High Level

  • Workflow Support: Help maintain backend workflows to ensure no opportunities are missed

  • Intake and Documentation: Assist with forms, submissions, and internal documentation tied to lead intake and job tracking

🤝 Internal Coordination and Process Improvement

  • Team Collaboration: Work closely with the owner, office manager, and admin team while following SOPs and daily priorities

  • Task Ownership: Take responsibility for recurring operational tasks to free internal staff for revenue-generating activities

  • Process Awareness: Identify inefficiencies or gaps in workflows and communicate improvement opportunities

  • Consistent Execution: Maintain daily discipline, accountability, and follow-through with minimal supervision

🎯 Qualifications & Skills

  • Previous experience with cold calling or appointment setting in a B2B environment

  • Comfortable speaking with business owners, contractors, and decision-makers

  • Strong communication skills with a calm, confident, and professional tone

  • Ability to quickly learn construction-related terminology such as interior demolition, exterior demolition, selective demo, and full demo

  • Experience working with CRMs or backend business systems

  • Highly organized with strong attention to detail and data accuracy

  • Self-motivated and able to manage tasks independently

  • Comfortable handling rejection while maintaining consistency

  • Teachable and open to learning new systems and processes

  • Business-minded with an understanding of workflows and operational priorities

  • Bilingual in English and Spanish
