Distinct from traditional law firms that focus on rigid, transactional paperwork, this firm takes a holistic, consultative approach to legal counsel, operating under a specialized "Personal Family Lawyer" model.

 

The firm’s mission is to keep families "out of court and out of conflict" by providing comprehensive estate planning, asset protection, and kids protection planning. They pride themselves on a transparent, "no-surprise" pricing structure and a proactive process designed to eliminate procrastination, helping clients protect both their financial assets and their family values across generations.








 

About the Role:

 

You will serve as the backbone of daily operations, taking ownership of legal drafting, managing client intake, and driving case workflows forward. This is a high-level, interactive role requiring someone who is highly responsive, detail-oriented, and proficient in legal tech platforms.

 

To ensure optimal real-time collaboration, this role is strictly open to candidates based in Latin America who can work regular US Central Time business hours and maintain active, swift internal communication.


Key Responsibilities

 
  • Scripted Client Intake: Answer and conduct the firm's critical "15-minute qualification calls." Reach out proactively to prospective clients who schedule online, taking them through a scripted process to determine if they are a right fit for the firm.
  • Deed Drafting & Proofreading: Prepare property deeds using existing templates. This requires impeccable accuracy when copying precise legal land/property descriptions from existing files into new documents.
  • Engagement Letters: Prepare client engagement letters using Adobe prepared forms. Utilize an attorney-provided checklist to customize the agreements, set up necessary electronic signature fields, and issue them via MyCase.
  • Document & Case Workflow Management: Manage case files seamlessly from start to finish. Collect sensitive financial documents, track strict legal deadlines, maintain the attorney's calendar, and proactively push files through the pipeline.
  • Communication & Phone Management: Serve as a professional, empathetic point of contact for clients. Answer incoming calls and make outbound calls over the internet using the firm's cloud phone system (VXT).
  • Legal Drafting (WealthCounsel): Take over primary drafting responsibilities using WealthCounsel software. Review plan design sheets pushed from Lawmatics, apply them to pre-set scenarios (3 to 4 major trust archetypes), perform accurate data entry, and generate complete drafts.
  • Marketing Support (Bonus - ~1 Hour/Week): If experienced, assist with basic digital marketing execution. Open pre-made graphics in Canva, insert the attorney’s photo/name, and publish them via Facebook/Meta. Copy and paste weekly blog content into an established template within MailChimp and distribute it to the firm's mailing list.

Qualifications & Skills

Required

  • Experience: Proven hands-on experience as a Legal Assistant or Paralegal, ideally with a focus on Estate Planning or Probate Law.
  • Software Mastery: Strong proficiency or rapid adaptability to the firm’s core legal tech stack: MyCase, Lawmatics (CRM), WealthCounsel (drafting platform), and VXT (VOIP phone system).
  • Language & Demeanor: Impeccable, fully fluent English (written and spoken) with an empathetic, professional demeanor suitable for direct client interactions.
  • Communication Standards: Extreme organizational skills with a commitment to high responsiveness (answering internal Slack or VXT messages within 30 minutes during business hours).
  • Data Security: A strict understanding of professional discretion and data security compliance regarding sensitive client financial metrics.


 

Highly Preferred / Pluses

  • Familiarity with basic marketing platforms (Canva, MailChimp, and Facebook/Meta Business Suite).
  • Prior experience working remotely for US-based law firms.
