🎯 About the Role
We are seeking a highly organized, proactive Virtual Assistant to join the team as an Admin Coordinator. This full-time role is ideal for someone who thrives on structure, enjoys supporting operations, and takes pride in delivering excellent customer service. You’ll play a key role in keeping daily operations running smoothly and efficiently.
🛠 KEY RESPONSIBILITIES
📅 Manage and finalize the cleaning crew’s schedule, typically 10 days in advance
📞 Serve as the first point of contact for clients and cleaning crew, resolving issues such as property access or appointment changes
📢 Communicate scheduling gaps to the sales team to help fill open appointments
🤝 Act as backup support for the sales team during absences
📊 Track customer payments, maintain internal documentation, and assist with reports and special projects
🧑💼 Manage the recruitment pipeline for new team members
🎯 IDEAL CANDIDATE PROFILE
✔ Proven experience as a Virtual Assistant, Administrative Assistant, or in Customer Service
✔ Strong verbal and written English communication skills (Spanish is a plus)
✔ Highly organized with excellent attention to detail
✔ Ability to work independently and manage multiple tasks effectively
✔ Self-driven, proactive, and reliable
✔ Passion for delivering outstanding customer service
✔ Adaptable and able to prioritize in a fast-paced environment

✅ Maintain a well-organized and accurate schedule
✅ Complete tasks and projects with high efficiency and accuracy
✅ Ensure all email inquiries are responded to by end of day, with inbox checks 3–4 times daily
💻 TECHNICAL REQUIREMENTS
🛠 Prior experience with GoHighLevel is a significant advantage
📊 Proficiency in Microsoft Excel (basic to intermediate) is required
📅 Jobber knowledge or experience is a plus
