  • The Client owns a franchise within the largest global network of reformer-based Pilates studios, offering accessible, high-quality, full-body workouts across 1,300+ locations worldwide. Founded in 2007, the brand focuses on strengthening, mobility, and stability using reformers, TRX, and other equipment in group settings. Classes are designed for all fitness levels.

About the Role:

  • The Client is seeking a highly organized and detail-oriented Operations and Payroll Specialist to manage payroll preparation, operational reporting, recruitment coordination, and document organization. This role is critical in ensuring accurate variable compensation calculations and maintaining streamlined internal systems as the business scales.
 

🔑 Key Responsibilities

  • Pull weekly and bi-weekly reports from the Club Ready POS system
  • Calculate variable compensation including per-head instructor pay, sales commissions, private training commissions, and manager bonuses
  • Track introductory class conversions, upgrades, and membership growth metrics
  • Organize and map payroll data into individualized employee spreadsheets for submission to the external payroll provider
  • Prepare comprehensive month-end performance and goal tracking reports
  • Analyze manager performance against sales and membership targets to ensure accurate bonus payouts
  • Post and manage job listings on platforms such as Indeed
  • Review applications and forward qualified candidates to hiring managers
  • Audit and reorganize Google Drive folders and operational spreadsheets
  • Build and maintain a centralized Resource Hub with standardized templates
  • Ensure all documentation is properly labeled, accessible, and consistently maintained

🎯 Qualifications & Skills

  • Advanced Google Sheets and Excel proficiency, including VLOOKUPs, complex formulas, and data mapping
  • Exceptional attention to detail with a zero-error mindset for payroll preparation
  • Experience extracting and managing data from POS systems such as Club Ready (preferred)
  • Strong analytical skills for compensation calculations and performance reporting
  • Fluent English communication skills, both written and verbal
  • Experience with CRM or project management tools is a plus
  • Previous experience in fitness, wellness, spa, or boutique studio industries is beneficial
  • Proven ability to work independently in a remote environment with reliable internet and backup systems
