About the Client:
The client is a U.S.-based company specializing in residential and commercial real estate financing. They operate as a brokerage, helping clients across the United States secure loan approvals by connecting them with financial institutions. Their team focuses on guiding borrowers through the loan process, from initial application to final funding, ensuring a smooth and efficient experience. They are currently looking to expand their operations by bringing on a reliable and detail-oriented virtual assistant to support their growing loan pipeline.

About the Role:
The Loan Processing Assistant will be responsible for managing loan files after they have been approved by the sales team and are ready to move forward. This role acts as a key liaison between the company, borrowers, and banks, ensuring that all documentation is accurate, complete, and submitted properly. The position will start as part-time with the goal of transitioning to full-time within the first 30 days based on performance. The ideal candidate is proactive, detail-oriented, and committed to getting tasks done efficiently without constant supervision.

Key Responsibilities

Loan Processing Coordination
• Manage loan files from intake through submission-ready status
• Receive and organize borrower documentation into structured folders
• Act as the main point of contact between borrowers, lenders, and the internal team
• Ensure all required documentation is collected, reviewed, and submitted accurately
• Prepare complete and clean lender-ready submission packages
• Assist in clearing lender conditions efficiently throughout the process
• Support closing coordination tasks including insurance, title, and final closing items

Pipeline Management
• Handle multiple active loan files simultaneously while tracking progress and deadlines
• Review all active files daily to ensure steady movement and timely follow-ups
• Maintain accurate pipeline trackers and status updates
• Audit files regularly for missing documents, delays, or bottlenecks
• Ensure no loan file remains untouched for more than 24 hours
• Maintain visibility across all active loans and escalate issues proactively

Documentation & Quality Control
• Review documents carefully before submission to avoid errors or missing information
• Rename, organize, and upload files properly within internal systems and lender portals
• Follow established checklists and processes without making assumptions
• Ensure accuracy and completeness in all submitted documentation
• Maintain high standards for both speed and quality control
• Track and update lender conditions until fully cleared

Communication & Follow-ups
• Communicate clearly and professionally with borrowers, lenders, and internal staff
• Follow up consistently on missing documentation and pending conditions
• Provide proactive updates to the loan officer and internal stakeholders
• Consolidate document requests into organized and clear communication whenever possible
• Send end-of-day updates regarding file progress and outstanding items
• Escalate concerns, delays, or discrepancies early to avoid process interruptions

Qualifications & Skills

Must Have
• Strong attention to detail and organizational skills
• Excellent communication skills in English, both written and verbal
• Basic proficiency with Excel, Word, PDF tools, and file management systems
• Tech-savvy with the ability to quickly learn new platforms and lender portals
• Ability to multitask and manage priorities in a fast-paced environment
• Strong sense of urgency and ability to meet turnaround expectations
• Ability to work independently with minimal supervision

Preferred
• Experience working with CRMs or loan processing platforms
• Previous experience in administrative, operations, mortgage, or data entry roles
• Exposure to real estate, mortgages, lending, or financial services industries
• Familiarity with loan processing software such as Encompass is a plus
• Experience handling document-heavy workflows and deadline-driven processes
