ROLE OVERVIEW About the Client: The client is a growing international customs, logistics, and international trade consulting firm supporting companies importing and exporting goods to and from the United States. The business handles high-volume customs entries, transportation coordination, and consulting requests across diverse industries, including perishables, manufacturing materials, chemicals, and consumer goods. Operations run daily—including mornings, weekends, and time-sensitive border crossings—for maritime and air shipments. The owner is highly involved in operations and is looking for a strong partner to take over day-to-day execution to focus on growth and strategy.

About the Role: We are seeking a highly organized, Bilingual Customs and Logistics Operations Coordinator to act as the connective tissue between clients, operations, accounting, and compliance. This role exists to bring order, structure, and follow-through to daily operations. You will monitor shipments, track documentation, follow up internally and externally, and proactively keep clients informed so nothing falls through the cracks. You will work closely with the founder and internal team to ensure commitments are met, processes are followed, and clients always know the status of their shipments.

Key Responsibilities

Operations and Logistics Coordination

  • Monitor active shipments and customs processes from start to completion.

  • Track required documentation for customs clearance and diligently follow up on missing items.

  • Support logistics and customs-related workflows across multiple ports of entry (air, land, maritime).

  • Ensure all requests are acknowledged, routed, and resolved in a timely manner.

Client Communication and Account Support

  • Provide proactive, clear, and professional status updates to clients regarding shipments and requests.

  • Act as the primary client-facing point of contact, escalating technical matters only when necessary.

  • Respond to client inquiries promptly to ensure no request goes unattended.

  • Maintain a "client-first" mindset, ensuring they feel supported and informed at all times.

Process, Organization & Cross-Functional Coordination

  • Bring structure to existing workflows by maintaining clean and organized records in Google Drive and spreadsheets.

  • Act as the liaison between operations, accounting, and compliance teams to keep work moving forward.

  • Identify operational gaps, inefficiencies, or risks and propose improvements to the founder.

  • Follow up internally to confirm task completion and ensure internal teams have what they need.

Optional but Valuable Responsibilities

  • Support basic customs-related tasks under guidance and training.

  • Assist with entry-level customs documentation review or preparation.

  • Support compliance tracking and reporting as the business scales.

Qualifications & Skills

  • Fluent in English and Spanish (Must have strong written and verbal skills in both).

  • Proven experience in administrative, operations, or coordination roles.

  • Highly organized and detail-oriented; nothing slips through the cracks.

  • Self-starter who takes initiative without needing constant direction.

  • Ability to manage multiple tasks and priorities simultaneously in a fast-paced environment.

  • Comfortable working with international and multicultural teams.

  • Strong follow-through and sense of ownership over tasks.

  • Coachability and willingness to learn the technical aspects of international trade.

Required Tools and Knowledge

  • Proficiency in Google Drive (Docs, Sheets) and Microsoft Office Suite (Excel, Word).

  • Strong email management and professional communication etiquette.

  • Familiarity with project management or tracking spreadsheets.

Nice to Have

  • Exposure to international trade, logistics, or customs brokerage.

  • Familiarity with customs processes, terminology, or ABI software.

  • Experience as a Customs Entry Writer or Customs Compliance Specialist.

  • Previous experience working in a startup or small business environment.
