About the Role:
The Operations Assistant will support day-to-day operations and help improve internal systems over time. Responsibilities include administrative coordination, financial support tasks, scheduling logistics, and operational organization. The role works closely with leadership to manage invoicing, job tracking, scheduling, reporting, and streamlining workflows across different platforms. This is a collaborative position for someone who enjoys wearing multiple hats and contributing ideas to improve business efficiency.
🔑 Key Responsibilities
• Manage scheduling updates, calendar blocks, and appointment coordination based on leadership requests
• Assist with CRM updates, client follow-ups, and internal system organization
• Support dispatch coordination by assigning team members to projects using scheduling platforms
• Maintain accurate internal records across spreadsheets and operational tools
• Provide ongoing communication support via text, phone, or messaging platforms when needed
• Assist with job costing by organizing expenses and allocating them to specific projects
• Support invoicing workflows triggered by project completion updates
• Maintain monthly reporting spreadsheets related to performance and commissions
• Review incoming vendor invoices and organize them according to internal processes
• Assist with bill payments, expense tracking, and basic financial organization tasks
• Collaborate with leadership to review existing workflows and suggest efficiency improvements
• Help transition operational processes into new tools or applications when needed
• Maintain organized documentation and support the implementation of improved systems over time
• Remain available for quick updates and operational adjustments throughout the day
• Communicate clearly with internal team members regarding schedules, updates, or changes
• Support coordination between different roles involved in project execution
🎯 Qualifications & Skills
• Experience supporting operations, administration, or coordination roles in service-based or project-driven environments
• Comfortable working with multiple platforms such as CRMs, scheduling apps, spreadsheets, and communication tools
• Comfortable communicating over the phone and handling quick operational updates or scheduling requests
• Basic familiarity with financial workflows such as invoicing, expense tracking, or job costing
• Experience using QuickBooks or similar accounting tools is a plus but not mandatory
• Strong organizational skills with the ability to manage multiple moving pieces
• Ability to create or improve spreadsheets and tracking systems
• Fluent English communication skills required
• Spanish is highly valued but not a strict requirement
• Previous exposure to construction, trades, or project-based industries is a plus
• Proactive and solution-oriented with a willingness to suggest improvements
• Easygoing, adaptable, and open to feedback
• Highly organized with strong attention to detail
• Positive attitude and motivated to grow within a small business environment
• Comfortable working in evolving systems where processes may change over time
