About the Client:
The client is a creative studio based in New York that develops original intellectual property across formats including short stories, articles, podcasts, digital video, and scripted entertainment for film and television. The company also partners with major global brands to produce high-end video and audio content. The team is composed of seven long-term employees who value collaboration, professionalism, and a highly communicative culture.

About the Role:
We are hiring an Executive Assistant to support the Founder and Chief Executive Officer across daily operations, communication management, meeting coordination, and external relations. This role acts as an extension of the Founder and combines strong operational skills with excellent communication, positive energy, and sound judgment. The Executive Assistant will interact frequently with senior-level contacts and is ideal for someone who is articulate, organized, proactive, and able to understand priorities without constant direction.


Key Responsibilities

  • Act as an extension of the Founder in daily communication and decision-making while representing his tone, values, and standards

  • Manage a complex calendar, protecting focus time and prioritizing external meetings when appropriate

  • Identify urgent or strategic priorities and adjust schedules to accommodate them

  • Prepare the Founder for meetings by researching contacts, recent news, projects, and relevant background information

  • Draft, review, and send clear and professional written communications on behalf of the Founder

  • Maintain a professional and warm tone aligned with the Founder’s personality

  • Take detailed notes during meetings, capture decisions and action items, and ensure follow-through

  • Build strong rapport with internal team members and maintain positive working relationships

  • Create and improve organizational systems including document management, tracking sheets, and follow-up systems

  • Conduct deep online research including locating hard-to-find contact information and background context

  • Use AI tools to support research and writing while maintaining responsibility for final quality

  • Support basic website upkeep in Squarespace including updating press articles and company information

  • Assist in organizing and drafting a quarterly company newsletter

  • Support light social media coordination related to company work and press

  • Review company credit card statements and categorize expenses

  • Identify unused subscriptions and coordinate cancellations when appropriate

  • Organize receipts and backup documentation in a searchable format

  • Track recurring tasks and deadlines to ensure nothing is missed

  • Suggest improvements to tools, templates, and workflows

  • Maintain strict confidentiality regarding company matters and high-profile contacts
     

 Qualifications & Skills

  • Excellent spoken and written English with strong control of tone and professionalism

  • Proven experience as an executive assistant, personal assistant, or similar role supporting senior leadership

  • Demonstrated ability to perform deep online research

  • Strong organizational and time management skills

  • High reliability and ownership of tasks from request to completion

  • High emotional intelligence and ability to read situations and adjust communication style

  • Proficiency with Google Workspace, online meeting tools, and task management systems

  • Comfort handling basic financial administration such as expense tracking and subscriptions

  • Remote readiness with a quiet work environment and stable internet connection

  • Experience in entertainment, media, or creative industries is an advantage

  • Interest in film, television, podcasts, books, or digital content is an advantage

  • Experience with Squarespace or website builders is an advantage

  • Experience drafting newsletters or marketing emails is an advantage

  • Experience supporting social media activities is an advantage
