🧩 About the Role
As an Operations Assistant, you’ll support daily business operations by handling administrative tasks, coordinating processes, managing data, and keeping records accurate and up to date. You’ll work closely with the Operations Manager to improve workflows, document systems, and ensure teams stay aligned and efficient.
This is a client-facing role, ideal for someone who is proactive, detail-oriented, and comfortable juggling multiple priorities.
🛠️ Key Responsibilities
📌 Administrative & Operations Support
Manage general admin tasks, scheduling, correspondence, and documentation
Maintain organized records, databases, and filing systems
Assist with creating and updating Standard Operating Procedures (SOPs)
Support client-facing materials, including Loom video assistance
🔄 Process Coordination
Assist the Operations Manager in implementing and improving workflows
Track project timelines, milestones, and deliverables
Help streamline daily operations for better efficiency
📊 Data Management & Reporting
Collect, organize, and maintain operational data
Prepare reports, summaries, and presentations for leadership
Ensure data accuracy across tools and systems
📦 Logistics & Inventory
Assist with inventory tracking, procurement, and vendor coordination
Manage purchase orders, deliveries, and shipment tracking
💰 Financial & Budget Support
Track expenses and process invoices
Assist with budget reconciliation and financial reporting
🤝 Team & Communication Support
Coordinate meetings, take minutes, and track action items
Act as a liaison between departments and external partners
Support onboarding and training logistics
✅ Compliance & Quality Assurance
Ensure operations align with company policies and standards
Assist with compliance tracking and risk management
🎯 Qualifications & Skills
✔️ Bachelor’s degree in Business, Operations Management, or related field (or equivalent experience)
✔️ 1–3 years of experience in operations, admin, or office support
✔️ Strong knowledge of Google Workspace (Sheets, Docs, Drive); able to create formulas from scratch 📊
✔️ Excellent communication and organizational skills
✔️ Strong attention to detail and problem-solving ability
✔️ Familiarity with tools such as GoHighLevel (GHL), Trello, or similar platforms
✔️ Experience creating and maintaining SOPs
✔️ Reliable, proactive, adaptable, and professional
✨ Nice to Have (Preferred):
Experience with GHL (GoHighLevel)
Background in data management, logistics, or process improvement
Operations or project management certifications
