🧩 About the Role

As a Dispatch Coordinator / Virtual Assistant, you’ll provide administrative and operational support to ensure seamless daily transportation operations. You’ll handle time-sensitive tasks, manage key records, and support dispatch coordination—all while working remotely.

We’re looking for someone highly organized, proactive, detail-driven, and dependable.


🛠️ Key Responsibilities

📌 Administrative Support

  • Manage emails, documents, scheduling, and daily admin tasks

  • Assist with internal and external communications

💳 Invoicing & Billing

  • Create, update, and track invoices

  • Ensure billing accuracy and proper documentation

📊 Bookkeeping (QuickBooks)

  • Record financial transactions

  • Reconcile accounts and maintain organized records

🚛 Dispatch & Transportation Support

  • Support dispatch operations and coordination

  • Ensure dispatchers have complete and accurate information

📈 Reporting

  • Prepare weekly reports, summaries, and operational updates

🤝 Coordination & Communication

  • Liaise with drivers, vendors, dispatchers, and internal stakeholders


✅ Qualifications & Requirements

✔️ 2+ years of administrative or operations support experience
✔️ Experience with invoicing and bookkeeping (QuickBooks preferred)
✔️ Strong organizational and multitasking skills
✔️ Excellent written and spoken English 🗣️
✔️ Spanish proficiency is a plus 🌟
✔️ TMS experience required (Transportation Management System)
✔️ Background in transportation or logistics is an advantage
✔️ Tech-savvy and quick to learn new tools
✔️ Detail-oriented, proactive, and solution-driven
