Her work involves managing leads, maintaining systems, and overseeing social media activity while focusing on strategic growth.

As her businesses continue to expand, she is looking for someone who can help maintain structure, keep systems updated, and ensure that important administrative tasks are handled efficiently. This role will work directly with her and will play an important part in helping her stay focused on higher level priorities while the assistant manages operational details behind the scenes.


About the Role

Our client is looking for a part time Executive Assistant to help manage CRM activities, administrative tasks, and light social media coordination across multiple businesses.

This role will focus heavily on maintaining HubSpot, organizing leads, scheduling follow ups, and keeping records updated. In addition, the assistant will help manage social media scheduling and engagement by posting pre-created content and responding to comments or messages when needed.

The role requires someone who is tech savvy, organized, and capable of working independently with minimal supervision. The ideal candidate will be proactive, reliable, and comfortable supporting a business owner by handling operational tasks that help keep systems organized and running smoothly.


Key Responsibilities

Administrative & Executive Support

  • Provide basic administrative support to the client across multiple businesses

  • Assist with organizing tasks, reminders, and operational activities to help keep daily work organized

  • Help maintain organized digital files, documentation, and business records

  • Assist with calendar reminders and basic scheduling when needed

CRM Support & Lead Tracking

  • Assist with maintaining the HubSpot CRM including inputting new leads and updating contact information

  • Help track notes and activity related to leads inside the CRM

  • Schedule reminders and follow ups to help ensure leads are properly tracked

  • Support keeping the CRM organized so the client can easily monitor lead activity

Social Media Coordination

  • Schedule social media posts that have been created by the client across relevant platforms

  • Monitor social media activity including comments and direct messages

  • Respond to basic comments or messages when appropriate and flag important conversations to the client

  • Help observe which posts generate engagement and report basic insights to the client

Communication & Contact Support

  • Assist with sending text messages to contacts when needed while the client manages phone calls and direct outreach

  • Help maintain organized communication records related to contacts and lead activity

  • Support simple follow up communications when instructed by the client

Systems Organization & Process Support

  • Assist with keeping digital systems organized across the client’s businesses

  • Help document simple processes and internal workflows when needed

  • Support basic automation tasks or technology tools when possible to improve organization and efficiency


Qualifications & Skills

Must Have

  • Previous experience working as an Administrative Assistant, Virtual Assistant, or in a similar support role

  • Strong organizational skills and ability to handle basic administrative tasks reliably

  • Good written and verbal communication skills in English and Spanish

  • Comfortable learning and using CRM systems such as HubSpot or GoHighLevel

  • Ability to maintain organized records and follow instructions when managing tasks

  • Ability to work independently while completing assigned responsibilities

  • Reliable and detail oriented when handling administrative work

Preferred

  • Experience using HubSpot or GoHighLevel is highly preferred

  • Some experience assisting with social media scheduling or account management

  • Comfortable using digital tools, online platforms, and productivity software

  • Interest in learning automation tools or AI platforms that can help improve workflows
