They deliver premium window cleaning, specialized solar panel optimization, and high-pressure washing services for both high-end residential homes and commercial buildings. About the Role:
The client is seeking a proactive, highly communicative, and reliable Virtual Assistant to manage day-to-day administrative operations, client communications, and subcontractor logistics. As a service business operating out of Southern California, clear, natural, and confident phone communication is critical to this role. You will serve as the primary point of contact for our customers and subcontractors. This position offers a distinct path for growth: you will begin by handling administrative intake and scheduling, and transition into a full sales and closing role once fully trained on our services and quoting software.


Key Responsibilities

1. Customer & Subcontractor Communication

  • Serve as the front line for all incoming and outgoing communication via phone calls, emails, and text messages.
  • Coordinate, schedule, and dispatch subcontractors to various job sites (windows, gutters, solar panels, construction sites, and commercial properties).
  • Communicating promptly with prospective clients through mediums such as Yelp and Email.
  • Follow up with subcontractors to ensure they are on-site and jobs are moving smoothly.
  • Proactively text/call clients with updates regarding their scheduled services.

2. Quoting & Sales Pipeline (Progressive Training)

  • Phase 1 (Onboarding): Collect basic property and project information from prospective clients over the phone and input data accurately into our quoting software.
  • Phase 2 (Fully Trained): Handle inbound inquiries end-to-end—calculating accurate pricing, walking prospects through quotes over the phone, overcoming objections, and closing the sale.

3. CRM & Data Management

  • Maintain accurate, real-time client logs and project notes within the company CRM.
  • Ensure all client data, subcontractor details, and scheduling calendars are perfectly organized
​​​​​​​Qualifications & Skills
 
  • Experience: Prior experience supporting home service businesses (cleaning, roofing, landscaping, etc.) or working in an administrative/sales hybrid role is highly preferred. Possessing an existing library of Standard Operating Procedures (SOPs) is a major plus.
  • Communication Style: Strong verbal communication skills are non-negotiable. Must be comfortable speaking transparently, raising issues when technical/payment anomalies occur, and communicating assertively but politely with customers.
  • Tech Savvy: Ability to learn and master CRM platforms, calendar management tools, and proprietary quoting software quickly.
  • Mindset: Looking for a permanent, long-term partner who seeks stability and is looking to grow alongside the business.
  • Email Marketing: Previous experience with email marketing would be beneficial
