Due to rapid growth and increasing operational demand, the agency is expanding its remote team to support daily operations and prepare for the opening of a second location. The company values reliability, accuracy, professionalism, and strong bilingual communication, as it serves a diverse English- and Spanish-speaking customer base.
About the Role:
The Insurance Customer Service and Bookkeeping Assistant plays a critical role in supporting both front-end customer interactions and back-end administrative and financial processes. This position requires handling a high volume of inbound calls, assisting with policy-related requests, maintaining accurate records, and supporting bookkeeping tasks. The ideal candidate is detail-oriented, dependable, bilingual, and comfortable working independently in a fast-paced insurance environment while handling sensitive customer and financial information.
📝 Key Responsibilities
Answer and manage a high volume of inbound customer calls
Assist customers with payments, policy updates, vehicle changes, address verification, and basic coverage questions
Verify customer identity and accurately access and update policy information
Escalate complex issues to the appropriate internal agent when necessary
Communicate clearly and professionally with customers in both English and Spanish
Provide guidance and reassurance to Spanish-speaking clients
Maintain accurate and up-to-date customer records in the agency management system
Upload, organize, and verify insurance documents across multiple carriers
Monitor policy renewals and ensure files are complete and compliant
Process daily customer payments and financial transactions
Prepare and organize receipts, invoices, and transaction records
Reconcile transactions in QuickBooks and internal systems
Support payroll, accounting, and reporting tasks as needed
Maintain confidentiality of customer and financial data
Coordinate with internal agents to ensure timely task completion
Use Microsoft Teams and other tools for daily communication and updates
Follow established workflows and participate in onboarding and training
🎯 Qualifications & Skills
Prior experience in an insurance agency, brokerage, or financial services environment
Experience handling customer service calls in a professional setting
Bookkeeping or accounting support experience preferred
Experience supporting U.S.-based companies is a plus
Proficiency with QuickBooks or similar accounting software
Familiarity with CRM or agency management systems such as Agency Matrix is a plus
Fluent in both English and Spanish, with the ability to support Spanish-speaking customers
Neutral, easy-to-understand English accent suitable for U.S.-based clients
Strong attention to detail and organizational skills
Ability to work independently in a fast-paced environment
Reliable computer setup, headset, and stable high-speed internet connection
