🎯 About the Role

  • Seeking a professional, bilingual (English/Spanish) Virtual Assistant

  • Manage front-line communications with excellence and urgency

  • Provide administrative support to the clinical team

  • Serve as the first point of contact for clients

  • Ensure clients are scheduled quickly and records are maintained with 100% accuracy


🔑 Key Responsibilities

  • ☎️ Front-Desk Management

    • Answer inbound calls promptly

    • Return missed calls/voicemails ideally within the hour
       

  • 📅 Strategic Scheduling

    • Manage calendars for the owner and two staff therapists

    • Coordinate initial appointments

    • Manage recurring follow-up sessions
       

  • 🖥 EHR Data Entry

    • Accurately enter therapist notes

    • Process intake forms

    • Maintain client data in the Electronic Health Record (EHR) system
       

  • 📲 Client Follow-ups

    • Proactively confirm appointments

    • Ensure clients remain engaged with required services
       

  • 📄 Medical Administration

    • Draft professional forms

    • Prepare termination letters

    • Create agency-specific documentation as needed
       

  • 💰 Revenue Protection

    • Ensure no referral is lost to a competitor

    • Deliver a warm, efficient, and immediate booking experience

  • 📝 Group Session Assistance

    • Sit in on group sessions

    • Take accurate notes


✅ Qualifications & Skills

  • 🌎 Bilingual Fluency

    • Native or near-native fluency in both English and Spanish

    • Essential to serve a diverse client base

  • 💬 Communication Style

    • Professional, warm, and patient phone presence

    • Comfortable handling “high-risk” or impatient clients

    • Communicate with empathy and clarity

  • 💻 Technical Proficiency

    • Experience with EHR systems (Electronic Health Records) beneficial

    • Proficient in digital scheduling tools and email management

    • Highly detail-oriented

    • Capable of managing administrative workload for three providers
