About the Role:
We are growing and looking for a dependable, organized, and upbeat Patient Outreach Specialist to join our team!
In this role, you’ll be the friendly, encouraging voice guiding our patients and clients through their pre-assessment process. The primary focus of this position is reviewing patient-submitted photos against specific quality standards and conducting warm, proactive follow-ups to ensure everything is accurate and submitted on time.

Key Responsibilities
- Proactive Patient Communication: Reach out to patients and clients via phone, text, and email to guide them through photo submission requirements for upcoming assessments.
- Photo Quality Review: Carefully review incoming photos against specific quality and accuracy criteria to ensure they meet clinical standards.
- Friendly & Persistent Follow-Up: Clearly explain resubmission needs to patients when photos don't meet standards, maintaining a warm and persistent approach until all correct materials are received.
- Organization & Tracking: Manage multiple patient files simultaneously, keeping detailed records of outreach, follow-ups, and status updates.
- Team Collaboration: Work closely with the broader team to help reach department goals and ensure a seamless experience for every patient.
- Ad-Hoc Support: Assist with additional detail-oriented operational tasks as needed.
Qualifications & Skills
- Warm & Clear Communicator: Excellent verbal and written communication skills across phone, text, and email, with a high level of patience and empathy.
- Exceptional Attention to Detail: A strong eye for spotting small differences, inconsistencies, or quality issues in visual submissions.
- Persistence & Dependability: Driven to follow through on tasks and follow-ups consistently without losing momentum or positivity.
- Strong Organizational Skills: Ability to prioritize, manage time effectively, and track multiple assignments in a fast-paced environment.
