The client is a leading disaster restoration and reconstruction firm serving residential and commercial properties across California and Arizona. Specializing in high-stakes recovery from fire, water, mold, and storm damage, the company is built on a foundation of rapid 24/7 emergency response and meticulous craftsmanship.
They are known for a process-driven approach that combines state-of-the-art technology—such as 3D spatial scanning—with a commitment to returning homes and businesses to their original condition. As a rapidly scaling organization, they pride themselves on being a community-focused partner that provides transparency and peace of mind to clients during their most challenging times. The team culture is fast-paced, growth-oriented, and centered on high-end service excellence.
About the Role:
We aren't looking for someone to just check boxes; we need an "Elastic Band" Executive Assistant. You will be the proactive force that catches miscellaneous tasks before they hit the owner’s desk. Your goal is to implement, execute, and "buy back" the owner's time so the company can continue its aggressive growth.
Key Responsibilities
- Inbox & Communication Management: Manage, triage, and organize the Founder’s Gmail inbox based on specific company prompts. Draft accurate, professional email responses for final approval, gradually mastering his voice.
- Social Media & Brand Support: Support the execution of social media content and curation to maintain our high-end brand identity.
- Matterport Media Assets: Navigate Matterport 3D spatial scans of job sites to capture precise before-and-after screenshots at identical angles for marketing initiatives.
- Research & Sourcing: Autonomously research and source high-end, custom products and items for marketing initiatives (e.g., custom client gift baskets) within budget constraints.
- Process Execution: Review video/screen recordings of workflows, ask clarifying questions early, and execute documented Standard Operating Procedures (SOPs) flawlessly without needing repetitive retraining.
- Admin Coordination: Act as a catch-all for random administrative tasks, operational processes, and strict follow-through on actionable items.
