About the Client:
The client is a high producing Loan Officer in the mortgage industry.
The business operates with strong emphasis on speed, disciplined follow up, CRM organization, and structured systems.
Revenue is driven by high lead conversion, strict database management, and protected calendar execution.
This role is critical to maintaining operational efficiency and maximizing production output.
About the Role:
This is a mission critical administrative support role for a high producing Loan Officer.
The focus is on lead management, CRM execution, calendar discipline, database organization, and operational follow through.
This is not a sales role.
The position ensures every lead is tracked, every deal has a defined next step, and all systems remain clean and optimized.
📌 Key Responsibilities
Ensure 100 percent of all new referred leads are followed up, tracked, and organized
Follow up with all new referred leads to schedule initial 10 to 15 minute calls with the Loan Officer
Execute continuous follow up for 7 days from the referral date
Onboard all new leads into Bonzo CRM using proper tags and custom fields
Provide daily, monthly, quarterly, and annual lead conversion reports from Bonzo
Assist with document collection and file organization in LendingPad after application submission
Support an 80 percent application to pre approval ratio through structured follow up and task management
Ensure every lead has proper follow up tasks with zero communication lapses
Confirm all appointments 24 hours in advance via email, text, and phone when necessary
Review next day appointments and weekly calendar outlook
Prepare and organize materials for upcoming meetings
Send follow up materials after consultations, strategy calls, and partner meetings
Prioritize calendar scheduling for revenue generating activities
Identify and resolve scheduling conflicts proactively
Maintain database hygiene and organization within Bonzo
Send weekly newsletters and communications via Mailchimp and Bonzo
Manage birthday notifications and home purchase anniversary follow ups
Monitor pipeline flow to ensure every deal has a next task or documented disposition
Manage the Loan Officer’s inbox and daily email flow
Optimize CRM workflows, tasks, and campaigns as directed
Provide additional administrative support to maintain production efficiency
🛠️ Qualifications & Skills
Fully bilingual in English and Spanish
Highly organized with strong attention to detail
Comfortable working inside CRM systems
Strong written and verbal communication skills
Proactive and solution oriented mindset
Experience using Bonzo CRM preferred
Mortgage or real estate industry experience preferred
Experience supporting Loan Officers or high production teams preferred
Strong understanding of urgency, follow up discipline, and lead conversion
Reliable, consistent, and execution driven
Comfortable operating in a revenue focused environment
