About the Role
The Project Operations Specialist is a remote, full-time operations role providing day-to-day support to the Project Management and Construction teams.
This role functions much like a project engineer or contract administrator, organizing subcontractor activity, maintaining project documentation, managing work orders and COIs, supporting client and field communications, and coordinating milestone billing and handovers.
Key Responsibilities
1) Subcontractor Management
Summary: Research, get quotes, onboard, insure, and close the loop with subcontractors.
Research and qualify specialty subcontractors
Set up and manage site walks, appointments, and scheduling
Track quotes and maintain standardized unit rates
Support onboarding (agreements, W9s, COIs, contact data, checklists)
Verify and track COIs prior to mobilization
Run coordination follow-ups with PM/Construction oversight
2) Project Administration
Summary: Work orders, compliance documentation, milestone coordination, and handovers.
Generate, issue, and track work orders and submittals
Maintain version control and distribution
Maintain accurate digital project folders
Send digital handover packages at closeout
Coordinate project photo shoots
Maintain performance, COI, and pricing databases
Track milestone billing triggers
Provide quick retrieval support
3) Construction Communications
Summary: Client, internal, and field communications.
Assemble weekly reports and daily subcontractor updates
Coordinate look-ahead plans
Participate in cadence calls and capture action items
Ensure documentation supports milestone invoicing
Prevent billing delays
The Specialist ensures all stakeholders have timely and accurate information to keep projects on schedule and on budget.
Background & Credentials
4+ years in fully remote administration
2+ years in construction administration, project engineering, or coordination
Experience supporting office and field teams
Required Skills & Competencies
Fluent in spoken and written English
Experience maintaining trackers and checklists
Strong organizational and multitasking skills
Proven follow-through on administrative processes
Ability to manage milestone-driven schedules
Strong operational judgment and escalation skills
Fast learner and continuous improver
Clear written and verbal communicator
Basic knowledge of construction documents
Proficiency in Google Workspace and Excel
Experience with construction/project management tools
Preferred Qualifications
Experience as Contract Administrator or Project Engineer
Ability to normalize subcontractor quotes
Familiarity with Bluebeam and photo documentation
Experience with subcontractor onboarding and COI management
Bluebeam estimating tools (preferred, not required)
