💼 About the Role

This is a hybrid operational and client acquisition role, acting as the vital first point of contact for individuals seeking mental health support, while also managing the practice's social media presence during downtime. You are an empathetic, high-trust onboarding professional responsible for qualifying inbound leads and confidently closing consultations.

This role requires a rare blend of deep emotional intelligence and aggressive sales capability. You are dealing with individuals often going through their darkest moments; however, your ultimate objective is to act as a closer—ensuring prospective clients feel supported while confidently guiding them to commit financially and book an appointment. Additionally, you will utilize your downtime to manage the founder's social media content, editing and uploading videos to drive client acquisition.

🎯 Key Responsibilities

  • High-EQ Discovery, Qualification & Closing: Conduct thorough, high-empathy qualifying conversations. Understand client pain points and confidently communicate our unique clinical value proposition to convert callers into consultation appointments.

  • Social Media & Content Management (Downtime Operations): Edit and upload video content recorded by the founder via Riverside. Manage basic captions, distribute videos across social media platforms (Facebook, Instagram), and entertain online conversations to drive client acquisition.

  • Inbound Pipeline & Nurturing: Manage and actively nurture a pipeline of approximately 120-130 inbound leads per month across phone calls, emails, and GoHighLevel (CC360).

  • Upfront Fee Processing (Revenue Protection): Enforce practice booking protocols by successfully collecting all consultation deposits and session payments upfront before an appointment is finalized.

  • Calendar Management & EMR Handoff: Manage provider calendars, book patients using strict scheduling rules, and immediately transfer all clinical intake records into the Electronic Medical Record (EMR) system.

  • No-Show Mitigation & Re-engagement: Execute rigorous confirmation workflows and design targeted re-engagement workflows inside GoHighLevel to reach back out to unconverted inquiries.

✅ Qualifications & Skills

⭐ Experience & Technical Requirements:

  • Experience: Minimum 2-3 years of strong sales closing, high-touch intake, or consultative business development experience.

  • Marketing Skills: Basic experience with social media management, specifically downloading, light editing, and uploading video content.

  • Technical Savvy: High proficiency utilizing GoHighLevel (CC360) or similar pipeline CRM software.

  • Compliance: Deep understanding of HIPAA guidelines and the medical ethics surrounding protected health information (PHI).
