The owner is currently overseeing multiple active projects and is focused on scaling the business by delegating day to day operational tasks and expanding business development efforts. The company is seeking reliable and tech savvy virtual assistants who can support areas such as outreach, billing, proposals, staff coordination, lead follow up, and sales and marketing initiatives. They value candidates who are proactive, adaptable to new systems, experienced with tools like Constant Contact and AI platforms such as ChatGPT, and committed to long term growth within the company.
About the Role:
The client is seeking an experienced and highly organized Sales Coordinator to support our company’s growth through consistent outreach, lead generation, marketing support, and client communication. This role is ideal for someone who has experience working in a sales environment, preferably with a construction, property maintenance, real estate, or building services company.
The Sales Coordinator will be responsible for identifying prospective clients, performing outreach through email and marketing platforms, assisting with social media and marketing efforts, and connecting qualified leads directly with company ownership.
This person must be proactive, professional, well-spoken, organized, and comfortable using technology, including AI tools and digital marketing platforms.
Key Responsibilities
Client Outreach & Lead Generation
- Conduct daily outreach to potential new clients, including property owners, property managers, real estate companies, landlords, and building operators.
- Use platforms such as PropertyShark, Constant Contact, email, and other approved tools to identify prospects by zip code, property type, ownership information, and available contact details.
- Prepare and send professional outreach emails introducing BHI Building Services and the company’s services.
- Track outreach activity, responses, interested prospects, and follow-up requirements.
- Connect interested prospects and qualified leads directly to the owners or management team for further discussion.
Marketing & Brand Support
- Work closely with BHI’s social media and marketing team to keep marketing efforts organized, consistent, and professional.
- Assist with preparing marketing content, email campaigns, service announcements, and client-facing communication.
- Support the company’s brand presence by helping ensure messaging is clear, consistent, and aligned with company services.
- Assist with Canva designs, email campaigns, service flyers, and promotional materials when needed.
Proposal & Lead Coordination
- Respond professionally to incoming proposal inquiries.
- Collect basic information from prospective clients, including property address, requested service, urgency, contact information, and decision-maker details.
- Forward qualified proposal requests and leads to ownership for review.
- Maintain organized records of outreach, proposals, follow-ups, and client communications.
Day-to-Day Duties
- Browse PropertyShark by zip code and target location.
- Identify ownership and available email contact information for prospective properties.
- Prepare and send email campaigns through Constant Contact or approved email systems.
- Follow up with interested parties.
- Maintain an updated lead tracker.
- Provide daily or weekly updates to ownership regarding outreach activity, interested prospects, responses, and pending follow-ups.
- Coordinate with the marketing team to support consistent company promotion.
Qualifications & Skills
- Prior experience in a sales, outreach, or business development role.
- Preferred experience working with a construction company, building maintenance company, real estate company, property management company, or contractor service business.
- Strong written and verbal communication skills.
- Ability to speak clear, professional English and Spanish.

Performance Expectations
The ideal candidate should be able to consistently perform outreach, generate qualified leads, support marketing initiatives, and help create new business opportunities for BHI Building Services. Success in this role will be measured by outreach volume, lead quality, follow-up consistency, appointment setting, and closed-job opportunities generated from outreach.
Proposed performance structure:
Initial evaluation period: first 90 days.
After 90 days, compensation may increase based on performance, outreach quality, consistency, and ability to generate qualified business opportunities.
Bonus opportunity: Sales Coordinator may receive 3% of the total awarded job amount for jobs closed as a result of their outreach efforts, subject to company approval and payment terms.
