Most client interactions happen by phone and require strong communication and follow through.
About the Role
The Virtual Assistant will serve as the primary dispatcher and customer service point of contact for a US based residential electrical services business. This role is critical to daily operations and focuses first and foremost on answering calls, scheduling jobs, and following up with leads and estimates.
The ideal candidate is calm under pressure, confident on the phone, highly organized, and able to follow structured workflows while also thinking independently when situations change. This is a dynamic role that requires strong communication skills, attention to detail, and consistency.
Key Responsibilities
Call handling and client intake
Answer inbound calls from homeowners
Collect required information using predefined checklists and templates
Provide a warm, professional, and confident client experience
Ensure accurate qualification of leads inside the CRM
Scheduling and dispatch
Schedule service calls and estimates using Housecall Pro
Adjust schedules when jobs run long, technicians are unavailable, or priorities change
Manage same day changes and urgent rescheduling
Ensure calendars remain accurate and up to date
Lead and estimate follow up
Call back every new lead promptly
Follow up on estimates that have not been approved within a few days
Handle basic objections confidently or escalate to the owner when needed
Maintain strong customer service throughout follow ups
Secondary Responsibilities
These support the main role and are handled once core dispatch duties are covered.
Administrative and documentation support
Monitor and respond to emails on behalf of the business
Draft emails based on dictation from the owner or technicians
Pull city permits and inspection documents from online portals
Coordinate inspections with homeowners and local authorities
Assist with basic contracts and invoicing documentation
Operational tracking
Review employee timesheets and verify clock in and clock out accuracy
Track job related expenses and flag discrepancies
Maintain organized digital records and project notes
Optional and Nice to Have Responsibilities
These are not required but are considered a strong bonus if the candidate has capacity.
Basic social media posting
Simple video editing
Light transaction categorization or reconciliation in QuickBooks Online during downtime
Qualifications and Skills
Fluent and confident spoken and written English
Strong phone presence and customer service skills
Highly organized and detail oriented
Comfortable handling daily calls and multitasking
Ability to follow up with clients and handle basic objections
Experience with Housecall Pro or similar CRM software preferred
Basic understanding of electrical projects or American construction preferred or strong willingness to learn
