Role Overview
About the Client:
This client owns and operates a successful Home Health Agency specializing in providing care to seniors and children with special needs. The Owner manages multiple interconnected companies, including mental health clinics and a daycare, and is currently experiencing extreme stress and high volume. The agency is restructuring and requires one crucial hire to act as the Owner’s right hand to maintain operational stability and compliance. The company culture values leaders who operate with a friendly, promoting, but firm approach.
About the Role:
The Owner is seeking a Virtual Assistant with a strong Management and Healthcare background to step into a leadership role. This is a permanent, high-responsibility position intended to reduce the Owner’s direct operational stress and allow them to step away from daily oversight. The role requires proven supervisory skill, a strong background in staffing and HR compliance, and the drive to contribute to agency growth.
Key Responsibilities
• Supervise existing staff including the clinical director, biller, coordinator, and staffing personnel to ensure smooth departmental operations
• Take full responsibility for payroll processing for agency staff
• Oversee daily workflows and ensure all administrative and operational tasks are completed correctly by the internal team
• Lead with a friendly and motivating approach while maintaining firm accountability
• Monitor and ensure compliance with healthcare regulatory bodies such as ACA
• Oversee staff and patient documentation within the EMR system for audit readiness
• Ensure patient assessments and plans of care are properly completed and archived
• Oversee billing processes and review bank statements to confirm payments are properly accounted for
• Develop and execute marketing strategies to support agency growth
• Acquire new clients through outreach to hospitals, elderly care facilities, and doctors’ offices via calls, flyers, and scheduled visits
• Handle initial disciplinary actions and documentation before escalating final decisions to the Owner
Qualifications & Skills
• Mandatory management experience within a Home Health Agency or related healthcare sector
• Proven leadership experience supervising and managing staff
• Strong background in staffing, HR, and administrative operations
• High level of trustworthiness, accountability, and reliability
• Strong drive to exceed expectations and support business growth
• Excellent communication skills to represent the Owner with external partners
• Ability to operate independently in a leadership support role
• Strong organizational and documentation skills
• Comfortable working in a fast-paced, high-responsibility environment
