The company manages high volumes of customer communications, scheduling, field team coordination, and back-office administration. The owner is highly involved in day-to-day operations and is looking to delegate administrative and coordination responsibilities to focus on higher value activities and long-term growth. The business values organization, reliability, attention to detail, and proactive problem-solving.

About the Role:
This Virtual Assistant will support back-office operations by managing the email inbox, customer text-based communication, and scheduling coordination inside Jobber. The role begins with core communication and organizational tasks and expands over time as the assistant learns the business and becomes more proactive. Success in this role depends on strong written communication, critical thinking, and the ability to work calmly in a fast-changing, schedule-driven environment.
 

🔑 Key Responsibilities

  • Manage customer communication primarily via email and text messaging, responding in a human, helpful, non-robotic tone

  • Perform daily inbox management, keeping response times tight and threads organized

  • Coordinate and update scheduling in Jobber, adapting to frequent changes due to weather or operational shifts

  • Assign teams to jobs within the CRM and maintain an accurate schedule

  • Send customer updates via email or text when schedules move or details change

  • Organize back-office information, track key data, and maintain clean records

  • Collect and track team hours and update timesheets or internal trackers

  • Support basic reporting tied to jobs, schedules, and performance data

  • Assist with job costing and keep job-related information organized for the owner

  • Learn and use Jobber CRM and other web-based tools efficiently
     

🎯 Qualifications & Skills

  • Strong written English for customer service via email and text

  • Customer service experience, even if primarily written communication

  • Comfortable with scheduling coordination and operational administration

  • Detail-oriented in data handling for hours tracking, schedules, and CRM entries

  • Critical thinking and proactive problem-solving skills

  • Ability to prioritize tasks effectively and know what must be handled first each day

  • Professional and personable communication style to ensure customers feel valued and heard

  • Adaptable and comfortable with constant change and a variety of tasks daily

  • Self-starter who takes initiative once trained
