About the Role:

This role combines executive support with operational coordination, acting as the right hand to leadership while ensuring that day-to-day processes run smoothly. The Executive Operations Assistant will be responsible for managing communications, organizing workflows, supporting client interactions, and helping structure internal systems. This is a proactive, high-responsibility role where success is measured by outcomes, organization, and the ability to anticipate needs rather than simply follow instructions.
 

Key Responsibilities

Executive Support

  • Manage and organize the executive’s calendar, ensuring no conflicts and proper prioritization
  • Review daily schedules and provide a clear breakdown of priorities and key action items
  • Assist with email management, ensuring timely responses and proper delegation
  • Coordinate meetings, appointments, and internal communications

Client Communication & Follow-Ups

  • Serve as a first point of contact for clients, maintaining a professional and polished tone
  • Respond to emails, calls, and messages, ensuring all inquiries are acknowledged and routed properly
  • Follow up with leads and existing clients to maintain engagement and move processes forward
  • Support onboarding of new clients, ensuring a smooth and organized experience

Operations & Workflow Management

  • Track all incoming leads, tasks, and communications within internal systems or CRM
  • Ensure nothing falls through the cracks by maintaining clear systems and follow-up processes
  • Coordinate with team members to align on priorities and ongoing tasks
  • Identify inefficiencies and suggest improvements to workflows and internal processes

Administrative & Coordination Tasks

  • Assist with invoicing and basic financial coordination tasks
  • Maintain organized records of communications, tasks, and client interactions
  • Support general administrative needs to ensure smooth daily operations
 

Qualifications & Skills

Must

  • 5+ years of general work experience
  • At least 2 years of experience supporting executives, founders, or senior leadership
  • Strong English communication skills, both written and verbal
  • Experience with client-facing roles or customer service
  • Familiarity with CRM systems and general business tools
  • Proficiency with Google Workspace and/or Microsoft Office
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment
  • Based in Latin America with availability aligned to Central Standard Time

Preferred

  • Bilingual in English and Spanish
  • Experience in financial services or similar industries
  • Familiarity with tools such as GoHighLevel, Calendly, or similar platforms
  • Experience with client onboarding processes
  • Background in operations, coordination, or process improvement
