About the Role:
The client is seeking a highly experienced Executive Assistant to serve as a trusted operational partner. This individual will be responsible for managing priorities, maintaining accountability across tasks, supporting day to day operations, and ensuring that every commitment is followed through to completion. The ideal candidate is exceptionally organized, detail oriented, highly responsive, and capable of operating with minimal supervision. Success in this role requires excellent communication skills, strong judgment, the ability to learn new systems quickly, and a relentless commitment to closing loops and delivering results without dropping the ball.
Key Responsibilities
Executive Support & Coordination
- Manage daily priorities, action items, and follow up activities
- Maintain accountability systems to ensure tasks are completed accurately and on time
- Coordinate meetings, schedules, communications, and administrative activities
- Support executive level decision making through organization and information management
- Anticipate needs and proactively address potential issues before they become problems
Task Management & Execution
- Monitor and manage task lists through Slack and other internal systems
- Ensure all assigned responsibilities are tracked through completion
- Communicate progress, roadblocks, and updates clearly and proactively
- Prioritize competing requests while maintaining accuracy and attention to detail
- Follow established procedures while identifying opportunities for greater efficiency
Systems & Process Development
- Create, document, and maintain Standard Operating Procedures (SOPs)
- Build and improve operational systems, workflows, and best practices
- Identify inefficiencies and recommend process improvements
- Support the implementation and adoption of new tools and internal processes
- Maintain organized documentation within company knowledge management systems
Communication & Collaboration
- Serve as a reliable point of coordination across internal teams
- Maintain professional and polished written communication at all times
- Ensure all messages, requests, and action items receive timely follow up
- Escalate blockers, risks, or concerns proactively
- Demonstrate strong emotional intelligence when interacting with stakeholders
Technology & Platform Management
- Utilize Google Workspace to support daily operations
- Operate efficiently within Slack as the primary communication platform
- Maintain and organize information within Notion
- Coordinate and manage meetings through Zoom and Google Meet
- Quickly learn and adapt to new software, platforms, and operational systems as needed
Qualifications & Skills
Must Have
- Native English speaker with exceptional verbal and written communication skills
- 5+ years of experience in Executive Assistant, Senior Virtual Assistant, Executive Operations, or similar high responsibility support roles
- Proven experience supporting executives or founders in fast paced environments
- Strong attention to detail with the ability to identify errors, inconsistencies, and missing information
- Demonstrated ability to manage multiple priorities while maintaining accuracy
- Advanced proficiency with Google Workspace
- Strong experience using Slack in a professional environment
- Experience working with Notion or similar documentation platforms
- Excellent organizational and time management skills
- Ability to work independently with minimal supervision
- Consistent track record of following through on commitments and closing communication loops
- Reliable internet connection, professional remote work environment, and polished video conferencing presence
Preferred
- Experience supporting startup founders or leadership teams
- Experience creating and maintaining SOPs, workflows, and process documentation
- Background working within technology, SaaS, healthcare technology, or high growth companies
- Experience building operational systems and improving internal processes
- Familiarity with Superhuman or similar email management platforms
- Experience working with globally distributed remote teams
