The company experiences strong seasonal demand, particularly during the spring rush, with a high volume of inbound calls from pre-qualified clients actively looking to schedule services. The business is investing heavily in systems, CRM organization, and marketing channels such as Facebook Ads to support long-term scalability. Client experience, clear communication, and operational efficiency are core priorities.

💼 About the Role

This role is focused on inbound lead conversion and client communication, serving as the first point of contact for new and existing customers.

The Virtual Assistant will handle inbound calls, answer questions about services, collect and input client information into the CRM, and efficiently schedule services. The role also includes light administrative support tied directly to inbound interactions, such as responding to client emails or texts, handling minor service issues, and sending bulk notifications when schedules change.

This position is designed to start with inbound and administrative responsibilities, with the potential to grow into additional sales or outbound functions as the business scales.

📌 Key Responsibilities

Inbound Call Handling & Lead Qualification

  • Answer inbound calls from new and existing clients in a professional, friendly, and confident manner

  • Ask discovery questions to understand service needs, property details, location, urgency, and expectations

  • Listen actively and identify the purpose of each call quickly and accurately

  • Provide clear guidance based on the client’s needs and the company’s services

Inbound Lead Conversion & Scheduling

  • Guide inbound conversations toward booking outcomes using a low-pressure, consultative approach

  • Convert qualified inquiries into scheduled services, estimates, or follow-up appointments

  • Clearly confirm appointment details before ending each call

  • Ensure bookings align with internal availability and service guidelines

CRM Management & Documentation

  • Capture and update all client information, notes, and call outcomes in the CRM

  • Maintain accurate client profiles and service records

  • Log scheduling changes, follow-ups, and relevant communication

  • Ensure data accuracy to support reporting and operational visibility

Client Communication & Light Administrative Support

  • Respond to client emails and text messages related to scheduling or service questions

  • Handle minor client issues by gathering information and communicating next steps

  • Send bulk notifications when services are delayed or rescheduled

  • Support basic onboarding steps for new clients

  • Process service skips, pauses, resumes, and service-day changes

Peak Season Support & Role Growth

  • Manage high inbound call volume efficiently during peak seasons

  • Maintain professionalism and service quality under pressure

  • Adapt to evolving systems and processes as the company grows

  • Support future outbound follow-ups or sales-related tasks as needed

Must-Have Qualifications

  • Strong verbal English communication skills with a neutral or easily understandable accent

  • Excellent people skills with the ability to build rapport and actively listen

  • Comfortable handling phone calls for extended periods during peak seasons

  • Previous experience using a CRM and confidence learning new systems quickly

  • Strong organizational skills and attention to detail

  • Calm, confident, and solution-oriented approach to client concerns

  • Tech-savvy and comfortable juggling calls, texts, emails, and CRM tools

Nice-to-Have Qualifications

  • Experience in lawn care, landscaping, or home service businesses

  • Basic sales or appointment-setting experience

  • Experience handling high volumes of inbound calls

  • Familiarity with service-based scheduling or dispatch environments
