🎯 About the Role

  • Administrative and operations-focused role

  • Not a paralegal position

  • Critical support function for a growing estate planning, probate, and trust administration law firm

This role supports:

  • Client communication

  • Scheduling and task flow

  • Day-to-day firm operations

You will work closely with the attorney and internal team to ensure cases move forward smoothly and clients receive responsive, high-quality service.

📌 Key Responsibilities

Client Communication & Intake

  • Handle inbound and outbound calls professionally using Dialpad

  • Call clients to gather missing information or documents

  • Follow up with clients prior to scheduled meetings

  • Manage incoming and outgoing emails and respond to common inquiries

  • Onboard new clients by sending:

    • Welcome emails

    • Engagement letters

    • Intake forms

  • Update Clio Grow with:

    • Pipeline stages

    • Notes

    • Referral tags

    • Email campaigns

Case & Document Management (Clio)

  • Upload, organize, and maintain case files in Clio

  • Send documents securely via Clio

  • Track case progress and deadlines

  • Manage e-signature workflows

  • Share signed documents through the client portal

Calendar & Scheduling Management

  • Coordinate meetings using Outlook, Clio, and Peerspace

  • Manage the attorney’s Outlook calendar to avoid conflicts

  • Protect focus time and ensure scheduling accuracy

  • Book meeting locations and confirm availability

  • Schedule, reschedule, and confirm:

    • Client meetings

    • Court dates

    • Consultations

General Administrative & Legal Support

  • Draft and send standard client emails and letters for attorney review

  • Assist with invoicing and general operational support

  • Generate and update:

    • Retainer letters

    • Engagement agreements

    • Drafting checklists using document automation tools

  • Organize and maintain digital client folders

Required Skills & Qualifications

  • Clear, professional English (written and verbal)

  • Prior experience in a legal services environment

  • Strong proficiency in Microsoft Office 365 (Outlook, Word, Excel)

  • Excellent organizational and multitasking abilities

  • Ability to manage complex administrative responsibilities independently

Preferred Qualifications

  • Experience with Clio Grow and Clio Manage (strongly preferred)

  • Background as an executive assistant, legal assistant, or client operations specialist

  • Experience using document automation tools
