With over 10 years in business, the company is currently experiencing a major growth phase and is focused on expanding its market presence while maintaining a strong personal connection with clients. The owner is highly entrepreneurial, also operating a commercial real estate company, and is seeking a long term partner who can help streamline operations, strengthen social media engagement, and support the business through organization, creativity, and AI driven innovation.
About the Role:
The client is seeking a highly organized and proactive Executive Assistant to support day to day operations, marketing coordination, CRM management, and administrative workflows across multiple business areas. This role combines executive support responsibilities with social media coordination, data organization, reporting, newsletter management, and AI driven operational support. The ideal candidate is tech savvy, detail oriented, adaptable, and excited to grow alongside a fast paced business owner. This is a long term opportunity for someone looking to become a trusted right hand partner and take ownership of important operational and marketing initiatives.
Key Responsibilities
Executive & Administrative Support
- Assist with daily operational and administrative tasks
- Help organize workflows, systems, and ongoing projects
- Support the client with task management and operational coordination
- Maintain organized records and ensure accuracy across platforms
- Provide reliable day to day support to help reduce the client’s workload
CRM & Data Management
- Maintain and organize lead information inside CRM systems
- Cross reference customer data between multiple platforms
- Track lead activity, appointments, and customer spending information
- Categorize and organize leads for marketing and follow up campaigns
- Perform data cleanup and maintain accurate database records
- Ensure contacts are properly added to newsletter and marketing systems
Social Media & Marketing Support
- Schedule and publish social media content across platforms
- Assist with creating engaging and educational content
- Organize monthly content calendars and scheduling workflows
- Research trends and competitor activity within the Med Spa industry
- Assist with newsletter creation and email marketing campaigns
- Support marketing reporting and campaign organization
AI & Automation Support
- Assist with AI tools such as Claude and other automation platforms
- Help research and implement workflow automations
- Support AI assisted content creation and operational improvements
- Stay updated on emerging AI tools and trends relevant to the business
Qualifications & Skills
Must Have
- Previous experience as an Executive Assistant, Administrative Assistant, or Operations Assistant
- Experience with social media management or content scheduling
- Experience using CRM systems and managing data entry tasks
- Strong organizational skills and high attention to detail
- Comfortable learning new platforms and technologies
- Strong written and verbal English communication skills
- Ability to multitask and work independently
- Experience supporting operational or marketing related tasks
- Comfortable working in a fast paced environment
Preferred
- Familiarity with GoHighLevel or similar CRM platforms
- Experience with email marketing tools such as Flodesk
- Basic knowledge of AI tools such as Claude or ChatGPT
- Experience with automation tools and platform integrations
- Experience supporting businesses in wellness, aesthetics, beauty, or healthcare industries
