About the Role 🎭
The client is seeking a high-level Creative Project & Operations Manager to serve as the "glue" for an exponentially growing international event production firm. This is not a traditional entry-level virtual assistant role; we are looking for a sharp-shooting, proactive professional who possesses a deep appreciation for aesthetics, hospitality, and the "guest experience."
You will be responsible for translating the owner's high-level creative vision into organized, actionable project plans. From managing $2M+ event budgets to coordinating complex vendor logistics across the globe, you will ensure that the "paper trail" is as impeccable as the physical event production.
Key Responsibilities ✅
Project Management 📋
• Oversee the lifecycle of events using Aisle Planner CRM
• Track timelines, deliverables, and ensure nothing falls through the cracks
Budget Oversight 💰
• Assist in developing and tracking event budgets, ensuring financial accuracy across multiple high-end projects
Vendor Coordination 🤝
• Act as the primary point of contact for world-class vendors (florists, caterers, logistics), managing orders and ensuring alignment with the creative vision
Operational Optimization ⚙️
• Audit and improve current G Suite systems
• Bring ideas to the table to make operations "better or easier"
Client Communication 💬
• Support client updates and maintain the high standard of "emotional connection" and service that the Brand is known for
Creative Support 🎨
• Utilize the Adobe Suite to assist with design-related tasks and ensure all project documentation meets the company's aesthetic standards
Executive Support ✈️
• Manage travel logistics for projects (eventually) and support the coordination of a small, high-impact domestic team
Qualifications & Skills 🎯
Experience ✔️
• Previous experience in project coordination, event management, or high-level executive support is required
