We are seeking a highly organized, proactive, and results-driven professional to support their leadership team. This role is essential to managing the appointment scheduling and administrative operations that sustain the agency’s industry-leading client retention and reputation for exceptional care.
About the Role:
We are seeking a highly organized, proactive, and results-driven professional to join our growing insurance agency. This is a dual-focus role that requires a high-energy "hunter" mentality for outbound telemarketing combined with the precision of an Executive Administrative Assistant.
The ideal candidate has a proven track record in the Medicare industry, is comfortable navigating cold calls, and can seamlessly transition into providing high-level support to our leadership team.
Key Responsibilities
1. Appointment Setting & Outbound Outreach (Primary Focus)
- Outbound Telemarketing: Conduct cold calls to prospective leads with a focus on high-volume appointment setting.
- Inbound Management: Field incoming calls from clients and referrals to qualify leads and schedule consultations.
- Referral Partnerships: Assist the Outreach Coordinator with follow-ups via email and text to maintain and grow referral networks.
- Performance: Meet or exceed weekly KPIs for outbound dials and successfully booked appointments.
2. Executive & Administrative Support
- Leadership Support: Execute weekly administrative tasks directly for the Customer Service Lead.
- Marketing Coordination: Assist in the organization and distribution of marketing materials.
- Workflow Management: Maintain and update CRM records, manage calendars, and ensure all internal documentation is current.
- General Admin: Assist with internal workflows, submit service tickets for minor client issues, and handle basic inquiries.
Qualifications & Skills
Required Experience:
- Medicare Industry: At least 1 year of professional experience specifically in cold calling and appointment setting within the Medicare space.
- Professional Admin: 2+ years of total professional experience in administrative support or executive assistance.
- Communication: Exceptional verbal and written English skills; ability to follow scripts while remaining personable, persuasive and professional.
- Resilient: A thick skin for cold calling and a "results-first" mindset.
- Organized: High attention to detail regarding follow-up dates and data entry.
Technical & Remote Requirements:
- Tools: Proficient in CRMs, scheduling software (Calendly, etc.), and standard office suites (Google Workspace/Microsoft 365).
