About the Role: As a Medical Records Specialist, you are the engine of the data acquisition process. This role is designed for a focused, high-output professional who thrives in a structured environment where speed and precision are equally valued. You will act as the primary bridge between the organization and medical providers, ensuring that patient data is requested, tracked, and secured with total accuracy.
This isn’t just about data entry; it’s about problem-solving and momentum. You will manage a dynamic workflow—clearing "kickbacks" (rejected or stalled requests), troubleshooting administrative hurdles, and maintaining a high-volume daily output. Because you will handle sensitive Personal Health Information (PHI), you are expected to maintain the highest level of integrity and professional conduct.
Key Responsibilities
Request Management
Process and send initial medical record requests through the designated queue.
Ensure medical providers have exactly what they need to release records efficiently.
Manage the daily influx of new files and requests.
Issue Resolution & Workflow
Review and resolve "kickbacks" or obstacles related to previously submitted requests.
Troubleshoot administrative hurdles to ensure timely fulfillment.
Complete open or pending requests to maintain workflow momentum.
Compliance & Documentation
Maintain precise documentation for every interaction.
Ensure 100% accuracy in data entry, as all tasks involve sensitive Personal Health Information (PHI).
Adhere strictly to data privacy standards and professional conduct.
Activity Tracking
Utilize Hubstaff daily to track work hours and productivity metrics accurately.
Maintain transparency in work output and attendance.
Qualifications & Skills
Technical Reliability: A stable, high-speed internet connection and a quiet, professional workspace are mandatory.
Communication: Clear professional English communication skills (written and verbal) are required to coordinate with medical providers.
Attention to Detail: Ability to handle complex medical documentation without errors.
Professionalism: Consistent attendance, self-motivation, and a strong work ethic are non-negotiable.
Data Privacy: Experience or high comfort level handling PHI and following HIPAA-style confidentiality protocols.
