About the Client:
The client operates a phone-resale business, driven primarily by Facebook Ads. Leads come in via Messenger, where potential sellers inquire about pricing for their devices. The client negotiates and closes deals, then meets sellers in person to complete bulk purchases. The business is fast-paced and highly dependent on quick response times to maximize conversions and maintain a steady flow of deals.
About the Role:
The Virtual Assistant will be responsible for managing inbound leads from Facebook Messenger and GoHighLevel, ensuring fast response times, providing quotes based on a pricing sheet, and setting appointments for the client. This role is highly execution focused and requires strong responsiveness, basic negotiation skills, and the ability to manage multiple conversations at once. The goal is to free up the client’s time so they can focus on closing deals in person and scaling the business.
Key Responsibilities
Lead Response & Engagement
- Respond to inbound leads quickly (within the first 5 minutes) via Facebook Messenger and GoHighLevel
- Maintain active conversations with multiple prospects simultaneously
- Ensure all messages are handled with urgency and professionalism
Quoting & Negotiation
- Provide pricing to leads using a predefined pricing sheet
- Apply basic negotiation techniques when needed
- Transition conversations smoothly toward agreement and next steps
Appointment Setting & Calendar Management
- Schedule meetings between the client and qualified leads
- Coordinate availability and confirm appointments
- Handle rescheduling when necessary
Follow Ups & Lead Management
- Follow up with warm and hot leads who have not completed the process
- Re-engage prospects who showed interest but did not finalize
- Ensure no high-potential leads are left unattended
Light Administrative Support
- Share lead details such as names and key info with the client
- Keep basic tracking of conversations and outcomes
- Support the simple organization of the daily lead flow
Qualifications & Skills
Must
- Experience handling inbound messages, chat support, or lead response
- Strong written communication skills in English
- Ability to respond quickly and manage multiple conversations
- Basic experience with appointment setting or calendar coordination
- Comfortable using messaging platforms and simple CRMs
- Understanding of sales negotiation and objection handling
Preferred
- Experience with Facebook Messenger lead handling
- Familiarity with GoHighLevel or similar CRM tools
- Exposure to lead generation or appointment setting roles
