🧩 About the Role
As a Website Implementation Specialist, you’ll own a portfolio of website implementations and guide clients from kickoff to launch. You’ll keep timelines moving, organize inputs, coach clients through decisions, and translate ideas into clear instructions for designers and technical teams.
This role blends implementation workflow, project coordination, and strong communication—perfect for someone who thrives on structure, clarity, and client success.
🛠️ Key Responsibilities
🤝 Client Ownership & Delivery
Own multiple active website implementations and act as the main client contact
Guide clients through the implementation journey by asking the right questions and clarifying requests
Proactively request deliverables, set expectations, and communicate timeline impacts
Coach first-time website clients on structure, page purpose, copy, and best practices
Provide objective guidance when requests fall outside website standards
📅 Project Planning & Organization
Maintain clear project plans with milestones, deadlines, dependencies, and risk tracking
Update Gantt charts and internal trackers daily
Manage 10–20 parallel implementations without missing details
Create clear, client-friendly action lists outlining next steps and due dates
🗂️ Content & Asset Management
Collect, review, and organize copy, branding files, images, logos, and forms
Review submissions for clarity, completeness, and basic best practices
Ensure assets are stored correctly using consistent naming conventions
Prepare complete handoff packages with approved copy and page-by-page guidance
🔄 Internal Coordination & Handoffs
Coordinate daily with designers and technical teams
Write clear handoff notes to minimize rework
Align stakeholders on priorities and escalate risks early
Provide quick status updates and flag accounts needing attention
✅ Quality Checks & Launch Readiness
Review drafts for layout logic, content placement, links, and mobile responsiveness
Manage revision rounds and consolidate feedback
Support user acceptance testing readiness
Confirm launch criteria and assist with post-launch follow-ups
🎓 Client Enablement & Support
Lead or support client meetings and send clear recap notes
Provide basic post-launch training and platform guidance
Ensure clients feel informed, supported, and confident—while protecting scope and timelines
🔁 Process Improvement
Follow implementation workflows while identifying improvement opportunities
Share recurring issues to improve templates and checklists
Take ownership of outcomes and proactively seek support when blocked
🎯 Qualifications & Skills
✅ Must Have
✔️ 2+ years of experience in implementation, project coordination, or client-facing delivery
✔️ Proven ability to manage multiple projects simultaneously
✔️ Experience with website projects, digital marketing, or web implementations
✔️ Strong client communication skills with confidence to guide and push back when needed
✔️ Ability to translate non-technical ideas into clear requirements
✔️ Highly organized, detail-oriented, and deadline-driven
✔️ Comfortable with Gantt charts, timelines, and dependency tracking
✔️ Advanced written and spoken English for US-based clients
✔️ Proactive, accountable, and ownership-driven mindset
🌟 Nice to Have
Agile, Scrum Master, or structured implementation experience
Background in marketing services, web agencies, or web operations
Basic understanding of WordPress or other CMS platforms
Experience reviewing or shaping website copy
Light technical exposure (HTML edits, QA testing, integrations, APIs)
Experience with staffing, recruiting, job boards, ATS, or CRM tools
