About the Role:

  • The Client is seeking a proactive and detail-oriented Executive Assistant to serve as right-hand support to the owner. This role is designed to remove operational bottlenecks by taking ownership of day-to-day administrative, organizational, and communication tasks. The ideal candidate is a critical thinker who anticipates needs, maintains structure in a fast-paced environment, and enables the owner to focus on scaling the business.


🔑 Key Responsibilities

  • Manage a high-volume email inbox and complex calendar with autonomy
  • Prioritize communications and resolve scheduling conflicts proactively
  • Format and polish proposals from raw drafts into professional, client-ready documents
  • Proofread content and ensure visual consistency and brand alignment
  • Organize and maintain digital file systems and spreadsheets for accessibility
  • Coordinate travel, meetings, and vendor communications as needed
  • Act as a gatekeeper for calls and scheduling while the owner is on-site or traveling
  • Utilize Google Workspace tools to streamline workflows and improve efficiency

🎯 Qualifications & Skills

  • Advanced proficiency in Google Workspace and/or Microsoft Office 365
  • HubSpot knowledge is beneficial
  • Canva or Photoshop experience is beneficial for proposal formatting
  • Strong document design and formatting skills with attention to layout and detail
  • Exceptional written and verbal English communication skills
  • Confident and professional phone communication abilities
  • Strong organizational skills with the ability to manage multiple priorities
  • Proactive problem-solving mindset with the ability to identify and fix inefficiencies independently
