About the Role:
The Admin Assistant will manage back-office operations for a construction firm focused on inspections and project administration. This is a process-driven and detail-intensive role requiring prior construction industry knowledge. The ideal candidate is highly accurate, efficient, and comfortable working in a fast-paced environment with direct communication. This is not a general administrative role but one requiring technical understanding and strong organizational discipline.
🔑 Key Responsibilities
• Manage emails, calendars, and appointments for project managers and executives
• Schedule meetings, site visits, and subcontractor coordination calls
• Handle data entry and maintain organized digital filing systems
• Prepare reports, correspondence, and internal documentation
• Assist with project timelines, schedules, and task tracking
• Update project management software with accurate information
• Coordinate with subcontractors, vendors, and suppliers
• Track project progress and flag delays or issues proactively
• Maintain contracts, permits, insurance certificates, and licenses
• Ensure all documents are current and compliant with regulations
• Organize blueprints, drawings, and specifications digitally
• Assist with timesheets and logging of work hours
• Serve as a point of contact between clients, contractors, and internal teams
• Respond to inquiries and provide project updates
• Maintain professional communication across all channels
• Maintain client and project records within systems
• Track leads, bids, and project pipelines
• Update contact databases and perform general administrative tasks as needed
🎯 Qualifications & Skills
• Working knowledge of construction terminology, materials, and repair processes is required
• Advanced Excel skills, including formulas, formatting, and identifying data inconsistencies
• High proficiency in Google Workspace, Adobe PDF tools, and QuickBooks (data entry)
• Strong English communication skills with a focus on clarity and efficiency
• Ability to work accurately under pressure in a fast-paced environment
• Strong attention to detail with a focus on data accuracy and organization
• Critical thinking skills with the ability to identify and flag issues proactively
• Experience supporting construction, project administration, or similar environments
• Reliable home office setup with stable internet and backup power solution
